I added the Ex Archivis documentation link for volunteers to log what they’ve added into the digital archive. This will serve as the permanent record of the archival work being done. FOR VOLUNTEERS: Don’t forget to submit your worklog here. 🙂

Most of the yearbook files are jpg. They must be saved as watermarked PDF. Follow these steps:
1. Use the archive’s laptop (installed there is ImageMagick – legacy enabled). Go to the folder (HDD) where the jpg files are, in there make a folder named “watermarked”.
2. In the folder containing the jpg, right click and run terminal (powershell, not command prompt).
3. Paste and run:watermark code for all sizes and file types
4. The command above will copy the jpg into the watermarked folder, and add watermarks on all of them. Now, open NAPS2 application. Import the watermarked JPG files, save as PDF.
5. Make sure that the pdf is saved on the folder “watermarked”. You must also send a copy to the vault which you will provide as access copy in tainacan.
That’s it.

I find it useful that after uploading the PDF to the onedrive vault we may open it on browser (i use microsoft edge) and click on the ASK COPILOT feature.
Inquire: Provide suggested archival title and short description for archival purposes.
The response may be copied into the tainacan item metadata.

To protect individuals from identity theft, bullying, and other unintended consequences arising from the publication of records containing extensive personal information, such as yearbooks, the Archive shall observe a 50-year waiting period before making such materials publicly available online. After 50 years, the information may generally be regarded as having greater historical value and reduced personal sensitivity. As an additional safeguard, the Archive shall seek opt-in consent from batch representatives for yearbooks and similar records that fall within the 50–60-year age range. Restricted records may still be made available upon formal request and subject to approval.
This rule applies specifically to public access through online publication. The Archive shall continue to actively collect, preserve, and digitize materials of archival value regardless of their age, subject to appropriate data privacy considerations. Materials less than 50 years old may be published online when, after careful evaluation, they are determined to be appropriate for public access. Opt-out requests shall always be honored.

To embed onedrive image URL into items
1. make sure the pictures are saved in an ANYONE CAN VIEW CANT DOWNLOAD FOLDER in onedrive. Copy and open the link in INCOGNITO browser. Click on the photo, and copy the URL path.

2. To become an embeddable URL in Tainacan, change the URL into this
3. Replace THE-ACTUAL-FILE-URL with the bold emphasized part of the URL above. Put .jpeg (the file type) after the filename at the end of the direct to file url.

UPDATE: Doesnt work on other pc. Only works at the pc where onedrive is logged in. I did not pursue embedding anymore, instead a URL of the access copy is provided in the metadata.
